A modern conference room, serving as a training center, must be equipped with comfortable chairs and tables that are designed to go with them. It is important that this furniture can be easily rearranged as needed.

Professional conference room equipment requires access to a stable, high-speed internet connection via Wi-Fi. Essential equipment includes a projector, a screen, and a good sound system. Rent a training room or use your own

If a company has its own well-equipped conference room, the question arises: should the training be held on-site, or should the company consider renting a venue? This depends, first of all, on the duration of the training. Second, on the training agenda. And third, on who will be participating in the training.

Holding a training session off-site in a rented conference room means participants have to make an extra trip. That’s a waste of time. So if the entire meeting is only going to last an hour or two, it’s not worth holding it at a rented venue. Even if it starts at the same time work begins, getting back to the office afterward can take quite a while. Employees will likely take advantage of the opportunity and want to run some errands, even if just for a few small purchases. The effort may therefore not be worth the trouble.

It’s a different story if the training is scheduled to last a full day or several days. In that case, it’s worth considering renting a training room. There are several reasons for this. 

A company has to pay an outside trainer or expert for high-quality, professional training. It is therefore advisable for employees to attend the sessions and not skip out halfway through. If they stay at the office, they might try to catch up on routine work. Training sessions are often neglected because they take time, and regular tasks still need to be done. They won’t be able to slip away from a rented training room.

Training with a session in small groups

Sometimes the training program includes sessions in small groups. These are often called workshops, panels, or something similar. In such cases, you need not only a training room large enough to accommodate all participants, but also coworking spaces or offices for rent. After all, these participants need to be accommodated somewhere so they don’t disturb one another. It’s not really feasible to do this within a company, because, first of all, it would disrupt the work of others, and second, as mentioned above, the training participants would then return to their regular workstations. Renting an office, for example in Warsaw, is a way to avoid these problems. 

Training room for several companies

Sometimes training sessions are organized jointly by several companies. These may cover a variety of topics, but more often they are specialized or niche subjects. In such cases, it is better to rent a conference room from an external provider rather than use the facilities of one of the companies participating in the training. This will help avoid friction or misunderstandings regarding billing. The cost of renting a conference room with all amenities is known, and it simply needs to be divided proportionally. The same applies to the expert’s fee. Given these arguments, renting a conference room and its price seem to be of less significance.
